QuickBooks migration checklist for businesses in Mauritius

Moving QuickBooks to a new computer, hosted server or Online? Check the edition, data to move, backups and acceptance tests before your team switches.

Start with the result you need

Moving to a new computer, hosting Desktop and switching to QuickBooks Online are different projects. Decide which outcome your business needs before selecting a destination.

Record the product country as well as the edition. Intuit’s US Desktop-to-Online instructions require matching countries or regions. Its global guidance says an Online account’s country cannot simply be changed. Check the route that applies to your actual setup.

Write down the current setup

Prepare a short inventory before selecting a migration date. This gives your IT provider and accountant a shared starting point.

  • Record Desktop, Enterprise or Online; the version or subscription; and the company country or region.
  • List users, branches, currencies and the computers or server that hold the current company data.
  • Note the work you depend on: invoicing, stock, reporting, document templates and connected applications.
  • Identify the authorised company administrator and the person who will check the accounts. Keep passwords and company files out of a public enquiry.

Agree exactly which information must move

Use a written scope for customer and supplier lists, items, opening balances, historical transactions, attachments and reports. Mark each requirement as included, excluded or needing a separate solution. Ask how your important invoice and delivery-note layouts will be handled.

Intuit explains that Desktop and Online features and data can behave differently after conversion. Availability also varies by country and plan. A successful upload is not evidence that every historical detail or workflow has transferred unchanged.

Protect the original and rehearse the work

Arrange an appropriate backup or export and confirm that the required original records can still be accessed. Agree where the test migration will run and who can authorise the final destination.

Take special care if the destination company already contains data. Intuit’s US migration instructions warn that replacing existing QuickBooks Online data cannot be undone. Do not confirm a replacement merely to get past a prompt; first verify the exact company, backup and agreed scope.

Compare the results before daily work starts

Before entering new transactions, compare Profit and Loss and Balance Sheet reports using matching dates and accounting methods. Ask your accountant to review differences.

  • Check customer, supplier and stock balances where applicable.
  • Review agreed historical transactions and document layouts.
  • Test user permissions and everyday tasks.
  • Record the cut-off date, acceptance owner and unresolved issues.
